This explains what I do with your information when you contact me, ask for a brand check, sign up for The Brand Check or work with me. I keep it to what I need, and I don’t sell or share it.
Sharlene Soobramoney, trading as Kalben Creative, based in Durban, South Africa. Contact: hello@kalbencreative.co.za.
When you use the contact form, I receive your name, business, email address, phone number and what you tell me about your project. If you request a free brand check, I receive your name, business, website and email address, and a record of when you asked for it. If you book a call, I receive the details you enter in the booking form. If we work together, I also keep the information I need to do the work and send invoices.
To reply to you, to send a brand check you asked for, to plan and do the work if we work together, and to keep the records the law requires, such as invoices.
Contact form messages and brand check requests are delivered to me through Formspree. Call bookings use Google Calendar. My email, files and records are kept in my Kalben Google account. I don’t sell your details or share them with anyone else, unless the law requires it.
Some of these services store information outside South Africa: Formspree and Google in the United States and elsewhere, and Brevo in the European Union. I use them because they have strong security and are bound by data protection laws and agreements that give your information a level of protection similar to POPIA.
I protect the information I hold with strong, unique passwords, two-step verification on every account, and an encrypted, password-protected computer. Only I have access to it.
Now and then I email a business once, using contact details it has published for enquiries, to ask whether it would like a free brand check. If you don’t reply or say no thanks, I won’t contact you again, and I keep a short record so that I don’t. You can ask me to delete that record at any time.
If you sign up for The Brand Check, I keep your first name, email address and the date you signed up, so I can send you the download and my monthly email. Your details are stored with Brevo, my email provider. Every email has an unsubscribe link, and I keep a record of unsubscribes so you won’t be emailed again.
Enquiries and brand check requests that don’t become projects are deleted after 12 months. Client records and invoices are kept for as long as tax law requires. Mailing list details are kept until you unsubscribe.
Under the Protection of Personal Information Act (POPIA), you can ask to see, correct or delete the information I hold about you, and you can object to how I use it. Email hello@kalbencreative.co.za and I’ll reply within 30 days. If you’re not happy with my answer, you can complain to the Information Regulator.
